As a key member of our team, you will contribute to the success of our entire events calendar by assisting and leading on various projects as needed. This is a great opportunity for an experienced professional with 3–5 years of event planning expertise who is eager to take ownership of diverse projects. You’ll be trusted to coordinate complex logistics, lead on-site execution, and maintain a service-oriented approach, all while ensuring every detail, from the big-picture strategy to the smallest finishing touch, is handled with excellence.
This is a hybrid position that will require coming into our downtown Pittsburgh office on an as-needed basis. You will work from home 4–5 days during typical weeks, but as major events approach, you should expect to be in our downtown Pittsburgh office 2–3 days per week. This role also requires approximately 2–3 weeks of travel per year for on-site event execution and site visits.
This role will cover a broad mix of responsibilities, such as:
Event Planning & Execution
- Assist with and, as needed, lead the coordination of events for 50–600 attendees, developing comprehensive project plans, timelines, budgets, and ensuring clarity and alignment among team members and stakeholders while monitoring milestones to ensure on-time and on-budget delivery.
- Prepare and submit RFPs to venues to secure suitable event locations.
- Oversee the creation and management of event registration processes using the Cvent platform.
- Jump in on any task required for event success, whether it’s coordinating AV needs, moving furniture, or organizing registration supplies.
- Serve as a lead or support contact for on-site execution, providing real-time problem-solving and maintaining a visible, assertive presence.
Communication & Collaboration
- Collaborate with the Event Team and internal stakeholders to align event goals and execute project plans under tight deadlines.
- Facilitate effective communication among internal teams, clients, and stakeholders to ensure seamless collaboration and understanding.
- Prepare, proofread, and format all event-related documentation and communications with accuracy and strict adherence to company templates.
