We are looking for a full-time Monday-Friday Administrative Specialist who will work remotely and in our downtown Pittsburgh office once a week and as needed.

This role will cover a broad mix of responsibilities, such as:

Office Coordination

  • Manage office supplies and equipment, including inventory tracking, ordering, packing, stocking, and ensuring
  • workspaces are organized, functional, and well-maintained.
  • Coordinate with building management and third-party vendors on maintenance needs, facilities issues, and improvement projects.
  • Manage packing and shipping for the office, including outgoing shipments and incoming deliveries.

Communication & Liaison

  • Handle incoming reception calls, emails, and mail with professionalism and warmth.
  • Coordinate thoughtful gestures and special initiatives to support employee well-being, recognition, and morale.
  • Support the administrative team in facilitating communication, coordination, and project needs across the organization.

Scheduling & Coordination

  • Schedule meetings, keep invitations up to date, and maintain shared calendars for various teams.
  • Assist with planning and coordinating events, conferences, and team meetings.
  • Support the Travel Team in planning and coordinating company-wide travel.
  • Coordinate meals and catering for concurrent in-office and off-site events.
  • Support ongoing projects and provide administrative assistance to staff and management.
  • Record Keeping & Documentation

    • Maintain and update information across various online data and recordkeeping tools.
    • Ensure all administrative procedures are documented and kept current.
